Overview
The project automates the employee onboarding process from start to finish. When a new hire submits a form, the system uses Make.com to generate and email an offer letter, notify the manager, and create calendar events for the start date and orientation. All onboarding records are logged in Google Sheets, ensuring a smooth, organized, and fully traceable onboarding experience.
Problem
Traditional employee onboarding is a manual and repetitive process that consumes valuable time from HR and management. Tasks like drafting offer letters, sending emails, scheduling orientations, and tracking records are often handled separately, leading to delays, inconsistencies, and missed details that affect both the new hire’s experience and overall efficiency.
Solution
- Automated form trigger: The workflow starts when a new row is added to Google Sheets, capturing a new hire’s details from an onboarding form.
- Offer letter generation: Google Docs automatically creates a personalized offer letter using a predefined company template populated with employee data.
- Document preparation: The generated document is downloaded and formatted for email delivery.
- Email delivery: Gmail sends the offer letter directly to the new hire, ensuring instant communication and professionalism.
- Calendar scheduling: Google Calendar automatically creates events for the start date and orientation, keeping both the employee and manager aligned.
- Manager notification: A follow-up Gmail email alerts the manager about the new hire and confirms completion of onboarding steps.
- End-to-end automation: The entire process runs autonomously, reducing manual work, eliminating delays, and ensuring a consistent, error-free onboarding experience.
